THE ROLE
Reporting to the Travel Operations Manager, the Travel Operations Coordinator is the connective tissue of our travel package operations, keeping the day-to-day planning and execution of each program on track. This is a full-time, Denver-based hybrid position that works primarily from the office across all of our travel programs, with travel to select events as needed to support on-site operations.
Responsibilities include but not limited to:
Advance
• Serve as the day-to-day liaison with hotels, venues and vendors on program operations and logistics.
• Build event operations documents and a daily operations timeline for each program.
• Process guest hotel reservation revisions and support rooming list audits leading up to each event.
• Order merchandise, supplies and equipment, and coordinate freight logistics across all travel package dates.
• Book travel logistics for program staff as needed.
• Source and book local staff for will call and shuttle operations.
• Advance ticket pickup and settlement with each venue box office.
• Analyze ticketing data and build will call lists.
• Support Guest Services ahead of each event and organize information for guest communications.
• Advance shuttle transportation logistics in select markets.
• Support the Travel Operations Manager with rooming list updates, guest communications and internal planning trackers.
• Maintain the master calendar of program deadlines and deliverables across all travel markets.
Event Support (On-Site and Remote)
Depending on the event, this role will either travel to work alongside the on-site team or support the on-site team remotely from the Denver office. Responsibilities below apply in both cases.
• Serve as the point of contact for hotels, venues, box offices and shuttle companies during event days, whether on-site or from the office.
• Track merchandise shipments and confirm delivery and inventory with the on-site team.
• Coordinate ticket pickup and will call materials with the box office and on-site staff.
• Prepare will call lists, signage and check-in materials, and run the will call operation when on-site.
• Onboard local staff ahead of each event and lead on-site training when traveling.
• Support guest service throughout the event, in person when on-site or by handling guest inquiries and escalations from the office.
• Resolve issues in real time as they arise, working directly with the on-site team.
• Lead on-site operations independently in select markets as experience grows.
Program Reconciliation & Settlement
• Prepare event recap reports at the close of each program.
• Review guest surveys prior to distribution.
• Partner with the Finance team to reconcile on-site program expenses.
CANDIDATE SPECIFICATIONS
Candidates should have a minimum of 2-3 years of industry experience and be confident leading large projects and teams. Experience across international markets is highly advantageous. Must be available to travel for select events, including some weekends, and to work extended hours during event dates.
