THE ROLE
Reporting to the VP Travel & New Business, the Lodging Operations Coordinator works closely with our hotel partners on contracting, reservations and settlement across all of our travel properties. This is a full-time position based in Denver, CO. The role spans all of our travel programs and serves as the main point of contact for our hotels on procurement, contracting, deposits, reservations and settlement.

Responsibilities include but not limited to:
Hotel Sourcing & Contract Management
● Develop and distribute Requests for Proposal (RFPs) to secure competitive hotel rates for each travel program.
● Conduct market research to evaluate hotel availability, pricing and property suitability for each program.
● Negotiate hotel agreements, room block terms and contract concessions in line with SUPER's operational and financial objectives.
● Review, summarize and route hotel contracts for stakeholder approval and execution.
● Maintain strong relationships with hotel partners to support long-term strategic partnerships.
● Ensure all negotiated contract terms and concessions are fulfilled by each hotel property.
● Track and document contract concession deliverables for internal reporting and reference.

Program Planning & Operations
● Build and manage event-specific rooming lists using ticketing and guest data.
● Coordinate guest special requests with hotel partners to deliver an exceptional attendee experience.
● Support pre-event operational planning and coordination with hotel teams to ensure seamless program execution.
● Manage staff lodging requests, room assignments and confirmation distribution for designated programs.
Financial & Administrative Management
● Audit hotel confirmation lists against rooming lists to ensure booking accuracy.
● Review post-event hotel folios and reconcile charges as part of the event settlement process.
● Coordinate hotel deposit schedules and payment processing in partnership with the SUPER Finance team.
● Maintain a master calendar of hotel deadlines, milestones and contractual obligations to ensure all deliverables are completed on time.

CANDIDATE SPECIFICATIONS
Candidates should have a minimum of 2-3 years of industry experience and be confident leading large projects and teams. Experience across international markets is highly advantageous.
