OVERVIEW
The Music Rights & Operations Specialist owns rights registrations, asset management, and release delivery execution. This role ensures that all required information and materials are accurate, complete, and handled on time to prevent delays and protect revenue across the catalogue.
This is a detail-heavy, systems-driven role best suited for someone who is organized, accountable, and comfortable owning timelines independently.
KEY RESPONSIBILITIES
Rights Registrations & Documentation
• Register works and recordings across relevant societies and platforms
• Prepare and submit Letters of Direction (LODs) and related documentation for SoundExchange
• Ensure accuracy of entity information, payee details, ownership splits, and catalogue scope
• Maintain clean documentation and confirmations for all registrations and rights records
Asset Collection & Catalogue Management
• Collect, organize, and maintain all required assets including artwork, masters, stems, edits, and alternate versions
• Ensure assets are properly labeled, stored, and version-controlled across internal systems
• Maintain clear asset readiness standards ahead of release deadlines
Release Distribution & Timeline Accountability
• Support release distribution by preparing and delivering accurate metadata, assets, and rights information
• Own internal deadlines related to rights, assets, and delivery requirements
• Flag risks early when missing information or approvals could impact release timelines
• Coordinate with distributors and internal teams to resolve delivery issues or post-release updates
Sync & Clearance Support
• Support approved sync opportunities by managing rights clearances, contracts, and post-approval registrations
• Ensure all rights and ownership details are aligned prior to sync execution
• Maintain documentation related to sync usage, registrations, and confirmations
QUALIFICATIONS
• Bachelor’s degree or diploma preferred
• 2-5 years of experience in music rights administration, label operations, publishing, or royalty operations
• Strong understanding of music rights, registrations, splits, and catalogue management
• Exceptionally detail-oriented with a high standard for accuracy and follow-through
• Comfortable owning operational workflows independently and managing deadlines
• Strong written and verbal communication skills
• Proficient with Google Workspace; experience with spreadsheets, Notion, and rights/distributor platforms is a strong asset
• Genuine interest in the operational and business side of music
