Role Overview
Noise New Media is seeking a detail-oriented Paid Media Operations & Reconciliation Coordinator to help ensure the accuracy, accountability, and financial integrity of our paid media programs.
This role serves as the operational bridge between our paid media team, bookkeeping function, ad platforms, and leadership team. The ideal candidate will ensure advertising spend across multiple platforms aligns with approved media plans, virtual card activity, platform invoices, and internal tracking systems.
This is not a bookkeeping or traditional accounting position. Instead, this role focuses on media spend validation, budget oversight, reconciliation, discrepancy resolution, and operational quality control across a high-volume advertising environment.
The successful candidate will work closely with leadership and paid media managers to identify issues before they become costly problems, helping protect client budgets and maintain confidence in our reporting and processes.
Key Responsibilities
• Media Spend Reconciliation
• Reconcile advertising spend across Meta, Google, TikTok, StackAdapt, Reddit, Nextdoor, DOOH, and other advertising platforms.
• Validate platform spend against virtual card activity and internal media plans.
• Ensure actual spend aligns with approved client budgets and campaign allocations.
• Investigate and resolve discrepancies between planned spend, platform-reported spend, and payment activity.
Budget Monitoring & Oversight
• Monitor active campaigns for potential overages, underdelivery, duplicate charges, failed payments, or billing anomalies.
• Flag issues proactively to paid media managers and leadership.
• Assist in maintaining budget accuracy across multiple client accounts and campaigns.
• Help establish checks and balances that reduce financial errors and operational risk.
Platform Billing Management
• Serve as the primary internal resource for advertising billing issues.
• Coordinate with platform support teams to resolve billing disputes, credit requests, charge discrepancies, and account-level payment issues.
• Track open issues through resolution and maintain documentation.
Operational Quality Control
• Review media plans and campaign allocations for consistency and accuracy.
• Verify spend data across reporting systems, dashboards, and platform sources.
• Support ongoing process improvements that increase visibility and accountability across media operations.
• Identify recurring issues and recommend workflow improvements.
Internal Communication
• Provide ongoing updates to leadership regarding reconciliation status, unresolved issues, and potential risks.
• Work closely with media buyers, account managers, and operations staff to maintain financial accuracy across campaigns.
• Support month-end reconciliation efforts alongside the bookkeeping team.
Qualifications Required
• 2+ years of experience in paid media, agency operations, advertising finance, media reconciliation, or a related field.
• Strong understanding of digital advertising platforms and how advertising spend is tracked and billed.
• Exceptional attention to detail and organizational skills.
• Strong analytical and problem-solving abilities.
• Comfortable working with spreadsheets, reporting tools, and large datasets.
• Ability to manage multiple priorities in a fast-paced agency environment.
• Based in the United States.
Preferred
• Experience working within a digital marketing agency.
• Familiarity with advertising platforms including Meta, Google Ads, TikTok, StackAdapt, Reddit, Nextdoor, and programmatic media.
• Experience supporting entertainment, live event, ticketing, fair, festival, concert, or venue marketing campaigns.
• Experience with virtual card management systems.
• Familiarity with reporting platforms such as Whatagraph and Looker Studio.
Position Details
• Part-Time (approximately 20 hours per week)
• Hybrid preferred (Nashville, TN)
• Reports directly to the CEO

Success in This Role
• After 90 days, this person should be able to:
• Independently reconcile all advertising spend activity.
• Identify discrepancies before they impact clients or campaign performance.
• Reduce billing and reconciliation errors across the organization.
• Provide leadership with confidence that media budgets, platform spend, and payment activity are aligned.
• Serve as the internal expert for paid media billing and spend accountability.
