The Recording Academy is seeking a highly organized and detail-oriented Coordinator to support the People & Culture team. You will support hiring and onboarding efforts for full-time, part-time, temporary, intern, and GRAMMY U Representative (GU Rep) positions; maintain HR records, systems, and trackers; coordinate with internal teams and external partners; and assist employees with day-to-day HR support. You will also help facilitate internship program operations, employee engagement initiatives, onboarding and offboarding logistics, and other People & Culture programs and events while handling sensitive information with professionalism and discretion.

WHAT YOU’LL DO
• Assist with the hiring process for full-time, part-time, temporary, intern, and GRAMMY U Representative (GU Rep) positions.
• Route and track job requisitions through the approval process for all position types.
• Liaise with external payroll partners and staffing agencies to onboard contingent workers.
• Maintain employee records and ensure HCM data, internal trackers, etc. are accurate and up to date.
• Assist employees with general HR questions, policies, and day-to-day support requests.
• Assist with coordination of new hire onboarding schedules, orientations, and training logistics as needed.
• Serve as a primary point of contact for temporary employees and contingent workers.
• Initiate and monitor background checks throughout the hiring process.
• Partner with the Recruitment Manager to support day-to-day operations of the internship program, including kickoff calls, check-ins, intern projects, and ongoing coordination.
• Partner with the Employee Benefits & Wellbeing Manager to support day-to-day operations of the mentorship program including kickoff calls, check-ins, projects, and ongoing coordination.
• Coordinate with IT, Facilities Operations, and Payroll to ensure seamless onboarding and offboarding for interns, GU Reps, temporary employees, contractors, and regular full-time and part-time staff.
• Support employee engagement programs, team initiatives, and company events.
• Initiate routine Workday transactions including new hire setup, employee profile updates, and job profile updates.
• Run standard Workday audit reports to identify missing or outdated data and coordinate corrections with the appropriate team members.
• Support compliance tracking efforts, including I-9 re-verification monitoring, required training completion, and timely distribution of required employee notices.
• Support open enrollment and new hire benefits enrollment logistics including sending reminders and tracking completion in coordination with the Benefits Manager.
• Maintain confidentiality while handling sensitive employee information and documentation.
• Other duties and special projects as assigned.
SKILLS & EXPERIENCE
• Bachelor’s degree required, preferably in Human Resources or related.
• 3+ years of relevant administrative experience, preferably in the entertainment industry.
• Prior experience in HR/People & Culture a plus.
• Must have a desire to pursue a career in HR/People & Culture.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Experience working with HRIS systems, ideally Workday, preferred.
• Basic working knowledge of AI with a curious but careful approach.
• Strong organizational skills with excellent attention to detail and the ability to manage and prioritize multiple tasks efficiently.
• High level of discretion and ability to handle confidential and sensitive information appropriately.
• Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization.
• Excellent interpersonal skills with a customer-service-oriented approach.
• Ability to stay calm, adaptable, and composed in sensitive and/or fast-moving situations.
• Flexibility to work occasional overtime as needed.
