We are looking for an amazing personal assistant for about a one month commitment.
Timeline: Would need to start Aug 31
Details:
We need someone highly punctual, professional, efficient, and just overall a star assistant. If things go well there is an opening for tour assistant in November. Please have at least 2+ years of experience, ideally in music or entertainment!
Organized – help with packing luggage and making sure we have everything ready for trips.
Good ready to work energy – will be going to stores to grab food/ supplies a lot.
Adaptive – sometimes things won’t go according to plan. We need someone who is able to adapt to the situation and make it go as smoothly as possible.
Forward thinking – be able to think ahead and be well prepared.
Able to handle carrying around possibly heavy items.
Keep social media usage around her to a minimum. We don’t want them posting pictures or images of her while there working or at events. Be smart about it and keep it professional.
Hopefully tolerant. Things can occasionally get a little heated and we want someone whose able to shake it off and keep going. Or not get discouraged. Obviously we don’t plan for things to get crazy, but just in case. Aka tough skin.
Good communication with the team to help keep things running smoothly.
Personal Assistant TASKS (non-touring)
•Big pack out and pack up around travel days
•Keeping things tidy and clean on a daily basis
•Basic Errands (coffee/grocery store/dry cleaning/packages/shopping etc)
•Handling orders of necessary items on Uber / Instacart / Amazon or going directly to store
•Keeping track of items required and anticipating repurchase (if need diapers or dish soap, etc)
•As needed taking out garbage and recycling and running a dishwasher once per day. *This is usually done once in the evening so all is ready for the morning.
•As needed dog walking (she’s a chihuahua it takes 15 minutes 3x per day) NOTE: she usually goes outside with baby three (3) times per day so this is handled with the nanny. But if it is raining for instance, she’ll need to go with assistant while baby stays inside with nanny. When travelling it may be needed that the assistant walk the dog quickly while mom tends to baby check-in/arrivals/diaper changes etc.
•Unpacking of groceries and cleaning fruits and veggies to be properly stocked before putting into Refrigerator
•Reset of refrigerator as needed with light wipe down
•Cleanup and sterilisation of baby toys/food containers/bottles/books etc when needed and to pack into suitcases *The nanny takes care of many baby items daily. Assistant is merely backup for what is overflow. This can be right after a meal - cleaning high chair, baby dishes and any remaining items used to prep meals.
RESTRICTIONS
No drugs or alcohol issues
No marijuana useage
Must be okay around small babies
Must be okay around small dogs
Must be able to take direction and be flexible if plans / schedules change suddenly
BONUSES

Show days
•Day to day setup and breakdown on the road for dressing room. Timing usually 11am and 9pm (during show)
•Wardrobe assist (steaming and prepping lightly garments from transport)
•assuring all details of rider are respected for dressing rooms (in tandem with Tour manager)
•Responsible for packing/ supervising and handling the loading in and out any luggages and wardrobe cases (am/pm)
•Show Day collecting ears and battery pack from Monitor Tech bringing to lodge and returning end of show.
•Show Day coordinating any activity between tour manager venue and personalities / press etc (including denying opportunities with grace if seemingly necessary)
•runs if needed locally with runner or on foot
•Show Day taking some casual pics or videos of the show or location for day to day log *Phone provided for this
•Show Day brining water or tea etc to soundcheck *verifiying prior soundcheck is in fact on time
•Show Day liasing with catering to make sure food options are okay (as of 11am)
•Show Day liasing with Tour Manager and general management for all things as they come about on a day to day basis. This includes press requests, show information, and routing - travel schedule timings and day to day events
•Show Day merchandise sales/ either handling this independently or giving instructions to local sellers and checking the inventory and payment pre and post sale. (If handling independently this is remunerated to you with a breakdown specific fee).
•Attitude : firm but flexible, friendly and supportive- but also very professional with all team members. FYI We are not many woman on this tour so it requires a straight ahead approach
