About the Role
The Talent Department Assistant plays a critical role in supporting daily operations. This position requires exceptional organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.
Responsibilities
• Manage and maintain agent calendars, including scheduling internal and external meetings
• Track and distribute client appointments and related materials
• Review, organize, and upload submitted materials in a timely and accurate manner
• Maintain and update client records, materials, and internal databases
• Assist with research, special projects, and information gathering
• Upload, organize, and monitor incoming opportunities and related activity
• Track contracts, bookings, and shooting schedules ensuring accuracy and timely follow-up
• Monitor payments and maintain organized financial records
• Track, manage, and reconcile commissions and payments across various structures
• Collect and compile monthly expense reports
• Onboard new clients and maintain all required documentation and records
• Coordinate internal communications and distribute relevant updates to appropriate teams
• Take detailed notes during meetings and distribute key information as needed
• Maintain professional communication with internal and external stakeholders
• Handle sensitive information with discretion and confidentiality
• Perform additional duties as assigned
Qualifications
• Preferred: Bachelor’s degree or equivalent experience
• At least one (1) year of professional administrative experience supporting an executive in the entertainment industry
• Strong attention to detail and organizational skills
• Ability to prioritize tasks and manage multiple deadlines
• Strong communication and interpersonal skills
• Solutions-oriented with the ability to anticipate needs and act proactively
• Ability to handle time-sensitive matters with urgency and accuracy
• Strong understanding of time zones, with experience coordinating across multiple zones simultaneously
• Proficiency in Microsoft Outlook, Word, and Excel
