This position requires you to work with teams and clients across North America, Europe, the United Kingdom, and beyond. Our events take place 7 days a week, and we need someone who can be on call as needed. While you will know your schedule in advance, we need someone who is flexible and understands the needs of working with tours. 
Role Overview
Reporting to the VP of Event Operations, the Staffing Coordinator is a hands-on position within the Event Operations team, responsible for managing day-to-day event staffing operations. 
The Staffing Coordinator is responsible for the human infrastructure of our VIP Programs. The primary mission is to curate, vet, and deploy a premier roster of VIP Assistants from an existing database while strategically expanding staffing capabilities. We are expecting to staff over 2000 local assistants this year. Secondarily, this role supports the Event Operations team by assisting with department or project-related tasks and advancing VIP programs with Venues.
Key Responsibilities
1. VIP Staffing & Database Management (Primary Focus)
Roster Curation: Source, review, and onboard high-caliber VIP Assistants
Database Ownership: Proactively manage and audit the internal staff database
International Expansion: Lead targeted recruitment to build a vetted bench of VIP professionals in key international markets to support global VIP Assistant growth. 
Booking & Briefing: Manage the full-cycle process from start to finish, including posting of tour/event openings, hiring and confirming staff for events, pre-event email communication, pre-event VIP Assistant training, day of show communication via text/email, post-show review/recap, and post-show payment.
2. Event Operations/Production (Secondary Focus)
Production Support: Work closely with Tour Production to ensure all onsite VIP elements are met
Advance Programs: Conduct VIP Advances with Venues
Logistics Coordination: Coordinate VIP Merchandise + Event Supply drop shipments and inventory tracking throughout the course of a Tour 
• **Department Admin & Collaboration: **Assist the Event Operations team members with administrative tasks and overall department collaboration.
Required Qualifications
Experience: 2–4 years of experience in event operations, nonprofit programs, volunteer management, or hospitality
Systems Proficiency: Strong organizational and time-management skills
Communication: Exceptional written and verbal skills
Flexibility: Willingness to work “on call” outside of traditional hours (nights, weekends)
• **Travel: **Some travel may be required. We would love to have someone out to regional events to understand the tours we work with.

• Exceptional communications skills. The right person will understand what to handle and what to escalate in a timely manner.

• Must know how to create/save a PD
• Must know how to hyperlink within Google Sheets/Docs
Bonus Skills
• Touring or VIP Assistant Experience 
• Brand Ambassador Experience 
• Canva, Lightroom, or Photoshop 
• Bilingual

Roster Health: Consistent growth of vetted, high-quality VIP staff in target international regions.
Fill Rate: Maintaining coverage across all tour stops and activations.
