PERSONAL ASSISTANT TO FOUNDER @BLDG.AGENCY
London / New York / Los Angeles
Full-time | International travel required
The role
I’m Priscilla, a founder and entrepreneur working across entertainment, talent, brands and creative projects internationally, and I’m looking for a brilliant Personal Assistant to work closely with me.
This is a role for someone who loves making things happen.
My work moves quickly, often across different cities and time zones, so I need someone who is organised, switched-on and naturally thinks ahead. Someone who can look at a situation and think, “Right, what’s going to be needed here?” rather than waiting to be asked.
One week could involve organising an international trip, the next helping pull together a creative project, coordinating meetings, dealing with suppliers, researching something completely random or making sure the 15 little things around a bigger project are all taken care of.
There will be travel, interesting people, cool projects and plenty of variety.
But equally, there will be calendars to organise, emails to chase and mundane things that simply need doing. That’s life.
What I’m looking for
I want someone who takes real pride in their work.
You’ll ideally be:
• Exceptionally organised and detail-oriented
• Proactive — you naturally think a few steps ahead
• A great communicator who is confident dealing with different people
• Resourceful and very good at figuring things out
• Calm when things change or don’t go to plan
• Comfortable juggling multiple priorities
• Discreet and trustworthy
• Someone who notices the little things
• Tech-savvy and comfortable working across different platforms and tools
• Happy working independently without needing constant direction
• Flexible, adaptable and willing to get stuck in
• Naturally positive and solutions-focused
• Someone with good taste, good judgement and common sense
Most importantly: your attitude
I’m looking for a problem solver.
If something goes wrong, I want your instinct to be “How can I fix this?”
Not “Whose fault is this?”
There will absolutely be mundane tasks. Every job has them. I’m not looking for someone who complains about doing the small things — I’m looking for someone who understands that doing the small things exceptionally well is often what makes everything else possible.
You’ll be trusted with a lot, so I need someone who takes ownership rather than waiting for instructions.
You don’t need to know everything. You do need to know how to find out.
What you’ll be doing
Your day-to-day will be varied, but could include:
• Managing my personal and professional calendar
• Coordinating meetings, calls and appointments across time zones
• Booking and managing international travel, hotels, transfers and itineraries
• Helping organise trips and being hands-on while travelling
• Managing bookings, purchases, deliveries and returns
• Researching people, places, products, services and opportunities
• Liaising with clients, talent, brands, venues, suppliers and other contacts
• Helping organise events, meetings and creative projects
• Keeping track of deadlines, follow-ups and moving parts
• Preparing for meetings and projects
• Handling confidential information with complete discretion
• Troubleshooting the inevitable last-minute issues
• Generally making life run more smoothly
The fun stuff
This isn’t a traditional 9–5 office job.
You could find yourself working from London one week, LA the next and New York after that.
You’ll be exposed to the worlds of entertainment, talent, brands, fashion, events and creative projects, and you’ll have the opportunity to meet interesting people and be involved in projects that are genuinely exciting.
There is also plenty of opportunity to grow with the role. As trust builds, so will your responsibility.
Location & travel
You can be based in London, New York or Los Angeles, but you must be comfortable with international travel and working across time zones.
Flexibility is important — my schedule and work aren’t always predictable, so this isn’t the right role for someone who needs every day to look exactly the same.
Experience
Previous experience as a PA, EA, Talent Assistant, Lifestyle Manager, Project Coordinator or in a similarly fast-paced role is helpful, but I care more about how you think than having the perfect CV.
If you’re smart, organised, proactive, discreet, curious and have an “I’ll figure it out” mentality, I’d love to hear from you.
Think this sounds like you?
Send your CV and a short note introducing yourself, telling me why you think we’d work well together and giving me an example of a time you had to figure something out without being given all the answers.
If you’re the kind of person who spots the problem before everyone else has even noticed it exists, we should probably talk.
