Position Overview
We are looking for a detail-oriented, music-obsessed Merchandising Coordinator to join our team. Our company sits at the intersection of design, production, and procurement, representing a diverse roster of world-class music artists.
As the "engine room" of the department, you will help keep merchandise projects organized, production timelines on track, and cross-functional teams aligned throughout the production process. This is a high-energy role that requires a mix of administrative precision and a passion for the logistics behind the music industry.
This is a hybrid role with some in-office days required. Only applicants currently living in the Nashville area will be considered.
Key Responsibilities
Data & Pipeline Management
• Daily Tracker Oversight: Oversee that real-time updates on internal grids are accurately logged and maintained by the team, including production status, pricing, and logistics.
• Pipeline Updates: Assist in bi-weekly updates to Monday boards and tour pipeline reports to ensure all incoming clients are accounted for in project planning.
• Digital Organization: Manage the storage and organization of final merch proofs and laminate designs.
Procurement & Vendor Relations
• Production Support: Play a pivotal role in the production process by helping liaise with vendors to organize quotes, track order deadlines, and keep a pulse on product details for various orders, simultaneously.
• Vendor Database: Build and maintain a comprehensive database of global vendors, printers, and manufacturers.
• Product Catalogs: Create and maintain internal product offering sheets and digital "blanks" catalog.
Logistics & Administrative Support
• Creative Collaboration: Be part of the research and brainstorming process for creative
• Department Infrastructure: Organize and manage department-wide logins (wholesale accounts, POS platforms, etc.) and maintain the fleet of merch iPads, Atvenu registers, Square readers, and Pelicans.
• Inventory & Samples: Oversee the organization of physical samples. Manage stock maintenance for "P&TY" (Party/Promotional) merch.
Requirements
• Experience: 2+ years of professional work experience in a fast-paced environment, including 1–2 years of experience in an administrative or assistant role (Music, Fashion, VIP Experiences, or Apparel industry experience is preferred).
• Tech Savvy: Proficiency in Monday.com, Excel/Google Sheets, and project management software. Familiarity with AtVenu is highly desirable.
• Organizational Mastery: A genuine passion for a perfectly sorted folder structure and a reconciled spreadsheet.
• Communication: Ability to communicate professionally with high-profile vendors and internal creative teams.
