Role Overview
Full executive and administrative support to the CEO across MODO-LIVE, Illuminate Social, and affiliated venues/festivals,  spanning calendar management, meeting support, financial tracking, national tour booking support, contracts, travel logistics, design, and personal/office support.
Travis Newman is the President and CEO of MODO-LIVE, a Toronto-based live events promoter and venue operator, and President of Illuminate Social, a leading influencer management agency based in Los Angeles. Prior to co-founding MODO-LIVE, Travis was an agent in WME's Beverly Hills office where he represented touring clients including Rob Lowe, Alton Brown, The Illusionists, and Endeavor Content's symphony-to-screen properties.

Responsibilities:

Calendar Management
• Scheduling meetings, in person and via Zoom
• Booking travel, hotels, reservations, entertainment
• Building itineraries for business travel

Meeting Attendance & Notetaking
• Attend weekly company meetings with Travis and take necessary notes
• Track deliverable actions items across meetings
•  Prep agendas/discussion points for internal meetings

Assisting in National Touring
• Request avails/holds, place challenges per Travis's instructions
• Build avails grids and routes

Financial Tracking
• Update AP/AR, cash flow, ticket and bar sales grids weekly
• Send weekly financial summaries to relevant threads
• Track monthly P&L and recurring financial obligations

Contracts & Documentation
• Draft employment agreements, verification letters, contractor agreements
• Redline incoming contracts per Travis's comments

Graphic Design & Decks 
• Build investor/pitch decks for acquisitions, collaborations, presentations

Travel & Expenses
• Book flights/hotels per company policy, along with building itineraries 
• Reconcile receipts and prepare expense reports for reimbursement

General Support
• General task support across personal needs or departments as needed
Qualifications
• Prior experience as an executive/personal assistant, ideally in live events, talent, or entertainment
• Strong organizational skills; able to manage competing priorities across multiple companies and time zones
• Proficient in Google Workspace, Zoom, and design tools (Canva/Adobe); comfortable with financial spreadsheets
• High discretion with confidential financial and personal information
