Position Overview
We are seeking a highly organized and proactive Executive Assistant to support the day-to-day operations of an exec, while also playing an active role in cross-functional coordination and business execution. This role sits at the center of a fast-moving, creative, and highly confidential environment and requires someone who can operate as a true right hand by anticipating needs, managing priorities, and enabling the exec to focus on strategic leadership, artist development, and label growth.
The ideal candidate has extensive experience supporting executive leaders in music, entertainment, or adjacent creative industries and thrives in a high-volume, high-judgment role where no two days look the same.
In this role, the Executive Assistant will serve as a key point of coordination across leadership, internal teams, and global partners, ensuring that the exec’s priorities, meetings, and business initiatives are executed smoothly and on time.
This is a full-time, hybrid role based in our Santa Monica office, with in-person collaboration 3 days per week and remote work 2 days per week.
Key Responsibilities
• Provide high-level administrative and operational support to the exec, acting as a trusted partner and gatekeeper while anticipating needs, managing priorities, and adapting to shifting demands
• Own complex, high-volume calendar management and meeting coordination across internal leadership, artists, managers, and external partners
• Serve as the primary point of contact for internal and external inquiries on behalf of the exec, representing the Executive and the company with professionalism, sound judgment, and strong follow-through
• Serve as a central point of coordination for internal communications with the QC team and shared services across HYBE America, ensuring visibility into artist release plans, schedules, and key business updates
• Coordinate domestic and international travel, including itineraries, visas, accommodations, and on-the-ground logistics
• Plan and administer meetings, offsites, and events, ensuring seamless logistics and budget discipline.
• Manage meeting preparation, agendas, briefing materials, and follow-ups to ensure timely execution of decisions and action items
• Manage the Executive’s email correspondence, track action items, and ensure priorities and deliverables move forward smoothly and on time
• Handle highly sensitive and confidential information with discretion and professionalism at all times
• Coordinate office and audio setup needs in partnership with internal teams and vendors, supporting day-to-day workflow and on-site functionality
• Partner closely with cross-functional teams across the business to support priorities and artist-related workflows
• Track key initiatives, decisions, and deliverables across projects and support special projects, strategic initiatives, and ad hoc requests as needed
• Process expenses, invoices, and approvals accurately and in a timely manner, maintaining organized digital and physical records
• Bring a collaborative, team-oriented, and positive attitude to a fast-paced, high-expectation environment
Qualifications
• 2–3+ years of experience in an Executive Assistant, Coordinator, or administrative role
• Prior experience in the music, entertainment, or media industries strongly preferred
• Proven ability to manage multiple projects and competing priorities with minimal supervision
• Ability to create polished, professional presentation materials and decks using Canva and similar tools (e.g., Google Slides, PowerPoint).
• Highly professional with excellent judgment, discretion, and integrity
• Ability to thrive in a dynamic, fast-paced environment with frequently shifting priorities
• Proactive and anticipatory approach to work, with a strong sense of ownership
• Exceptional attention to detail and strong organizational skills
• Comfortable taking accountability, receiving constructive feedback, and adapting quickly to change
• Strong general business acumen with a genuine interest in the music and entertainment industry
• Interest in Marketing and/or A&R
It’s a bonus if you have
• Bilingual or multilingual capabilities in Korean, Japanese, or Spanish
• An understanding of the A&R landscape
• Prior experience supporting executives or teams within the K-pop space, or a strong understanding of that landscape
• Prior experience supporting executives or teams within the R&B and Hip-Hop space, or a strong understanding of that landscape

Salary Range
The salary range for this job is $65,000 to $72,000. This is a good faith effort at the time of posting. This range is base salary only and does not include benefits and any other compensatory components of the role.
