THE JOB:
One More Time VIP is seeking a highly organized, detail-oriented Event Producer to join our team. They will oversee the planning, coordination, and execution of VIP experiences across a diverse portfolio of domestic and international tours. This role serves as a key point of contact between artists, management, venues, promoters, vendors, and internal teams to ensure each VIP program is executed seamlessly from initial planning through tour wrap.
The ideal candidate is a proactive problem solver who can manage multiple projects simultaneously, work independently in a fast-paced environment, and thrive in the unique demands of live entertainment and touring.
WHAT THIS ROLE WILL DO:
• Oversee day-to-day logistics and execution of multiple VIP programs from launch through tour wrap
• Serve as a primary point of contact for artist management, tour management, promoters, venues, vendors, and internal teams
• Work closely with artist and management teams to understand creative vision and translate it into executable VIP experiences
• Develop and maintain detailed tour timelines, production schedules, show information, and execution plans
• Coordinate VIP package fulfillment, including ticketing, experiences, merchandise, credentials, guest lists, and onsite requirements
• Advance VIP programs with venues and promoters, including space, capacities, access, staffing, load-in, production requirements, and costs
• Coordinate with road representatives and onsite teams to ensure successful execution of VIP experiences
• Oversee VIP merchandise and creative production, including approvals, purchasing, shipping, inventory, and delivery
• Coordinate creative assets and onsite elements including signage, photo opportunities, décor, banners, drink tickets, gifting, and other experience components
• Manage vendor communication, procurement, purchase orders, and shipment schedules
• Work cross-functionally with Guest Services, Operations, Finance, Merchandise, Marketing, and Leadership teams to keep programs on track
• Monitor VIP sales, capacities, inventory, and package fulfillment throughout a tour
• Track tour expenses, invoices, receipts, and other financial documentation; assist with tour settlements and final reconciliation
• Identify potential operational issues in advance and develop solutions to ensure a seamless guest and artist experience
• Maintain accurate tour documentation, databases, reporting, and post-tour recaps
• Support warehouse coordination, inventory management, tour assets, road cases, and equipment as needed
• Travel domestically and internationally as needed for onsite event execution and tour support
• Support additional company projects and special events as needed
WHAT THIS PERSON WILL BRING:
• 3-5+ years of experience in live events, touring, VIP experiences, merchandise, event production, artist relations, or project management
• Experience managing multiple projects, timelines, and stakeholders simultaneously
• Strong understanding of live entertainment, touring, venues, and event operations
• Experience with VIP package fulfillment, artist experiences, or fan-facing events strongly preferred
• Excellent organizational and project management skills with exceptional attention to detail
• Strong communication and interpersonal skills with the ability to work effectively with artists, management, venues, vendors, and internal teams
• Ability to manage competing priorities and remain calm and solutions-oriented in a fast-paced environment
• Strong problem-solving and crisis-management skills
• Experience with event advancing production coordination, vendor management, and onsite execution
• Understanding of merchandise, creative production, inventory, and shipping logistics
• Comfortable working with budgets, invoices, purchase orders, expenses, and financial reporting
• Proficiency with Microsoft Office/Google Workspace and project management or database systems
• Willingness and ability to travel domestically and internationally
• Valid passport required
• Touring, road, venue, or artist management experience a plus
• Bachelor's degree in a related field preferred but not required
