Business Manager, Finance & Operations

Full time

Onsite • New York, NY, USA

Category: Artist/Label Services

Chaotic Good is hiring a Business Manager to own the behind-the-scenes work that keeps our business running well: finances, contracts, payments, paperwork, and day-to-day business administration.
Today, much of this work sits with our leadership team. We’re looking for someone who can take it over, bring order to it, and become the person we trust to make sure the details are handled.
You should be comfortable moving between a spreadsheet, a client invoice, an insurance renewal, and a conversation with our accountant. You follow through, keep good records, and flag issues early.
What you’ll own
Finance and payments
• Manage invoicing, track incoming payments, and follow up on overdue balances.
• Keep vendor bills, contractor payments, expenses, and reimbursements organized and moving on time.
• Coordinate payroll and bookkeeping with our providers.
• Maintain a clear picture of cash flow, upcoming obligations, and spending against budgets.
• Give leadership straightforward financial updates and flag anything that needs attention.
Contracts and business administration
• Coordinate contracts from initial paperwork through review, signatures, and storage.
• Work with outside accountants, attorneys, insurance providers, and other business partners.
• Track renewals, filing deadlines, tax preparation requirements, and other recurring obligations.
• Keep company records and sensitive information organized and secure.
Day-to-day operations
• Handle the administrative side of employee and contractor onboarding and offboarding.
• Manage subscriptions, vendor accounts, and business tools.
• Build simple processes and checklists so important work happens reliably.
• Resolve routine issues independently and bring leadership clear recommendations when a decision is needed.
You’ll work with outside specialists for accounting, tax, and legal advice. Your job is to coordinate their work, ask good questions, and make sure nothing stalls or gets missed.
What we’re looking for
• Experience managing finance administration or business operations, ideally in a small company where you owned several functions.
• Strong attention to detail, sound judgment, and consistent follow-through.
• Confidence working with spreadsheets, financial records, and accounting tools.
• The ability to explain financial and administrative issues clearly.
• Discretion with confidential financial, employee, and business information.
• Someone who notices what needs doing, takes responsibility, and closes the loop.
You don’t need to have held this exact title. Relevant experience might come from business management, finance operations, or an operations role with substantial financial responsibility.
What success looks like
Ensuring accounting team is running efficiently: invoices go out promptly and payments and deadlines are tracked. Records are accurate and easy to find, and there is a clear understanding of where the business stands day to day. Routine administrative work moves forward without repeated reminders.
As you settle into the role, you’ll take ownership of these responsibilities and improve the systems that support them.
