We are looking for a highly experienced, exceptionally organised and reactive International Travel & Logistics Coordinator to join the management team of an internationally touring artist.
This is a demanding, fast-paced position requiring very high availability and 24/7 operational support during touring periods.
The successful candidate must be comfortable handling complex international travel, last-minute changes and high-pressure situations with exceptional speed, accuracy, discretion and professionalism.
This is not an entry-level position. Previous experience managing international travel and logistics for touring artists, executives, VIPs or similar profiles is strongly preferred.
RESPONSIBILITIES
You will be responsible for the artist’s worldwide travel and touring logistics, including:
• Booking and managing international commercial flights
• Building and managing complex multi-city itineraries and connections
• Handling last-minute cancellations, delays and emergency rebookings
• Booking and coordinating private jets and helicopters
• Arranging luxury / VIP ground transportation and professional chauffeurs worldwide
• Booking and managing hotels
• Coordinating directly with promoters, booking agencies, local production teams and tour management
• Collecting, checking and confirming all travel and logistical information with promoters
• Preparing and maintaining accurate tour info sheets
• Coordinating airport, hotel and venue transfers
• Monitoring flights in real time and anticipating potential disruptions
• Ensuring the artist and travelling party always receive accurate and updated travel information
• Maintaining schedules, bookings and travel information within System One
• Managing frequent-flyer programs, memberships, airline status and benefits, including Miles & More
• Finding immediate and reliable alternatives whenever travel plans change
REQUIRED EXPERIENCE & SKILLS
The ideal candidate:
• Is based in Europe
• Has excellent written and spoken English
• Has significant professional experience in international travel and logistics
• Has extensive knowledge of international airlines, routes and major airport hubs
• Understands airline ticketing, fare classes, rebooking procedures, baggage policies and complex connections
• Has strong knowledge of frequent-flyer programs and airline status benefits
• Has experience arranging private jets and helicopters
• Has strong experience with VIP and luxury chauffeur services
• Has excellent knowledge of international hotels and hospitality
• Has outstanding worldwide geographical knowledge
• Is highly proficient with flight-tracking platforms such as Flightradar24, FlightAware and similar services
• Has professional experience with System One
• Is exceptionally organised and detail-oriented
• Is extremely fast and responsive
• Communicates professionally and politely in all circumstances
• Can simultaneously manage multiple urgent requests
• Remains calm and effective under significant pressure
• Is comfortable solving urgent problems outside regular office hours when required
• Understands the confidentiality and discretion required when working with a high-profile international artist
THE PROFILE WE ARE LOOKING FOR
International touring requires constant anticipation.
Flights get cancelled. Connections are missed. Weather changes. Schedules move. Cars can be delayed. Hotels make mistakes. Entire itineraries sometimes need to be reorganised within minutes.
We need someone who anticipates problems rather than simply reacts to them.
When something goes wrong, this person must immediately understand the available options, communicate with the relevant parties and find the fastest, safest and most reliable solution.
Speed, precision, availability, discretion and exceptional problem-solving abilities are essential for this position.
The successful candidate will work closely with artist management, tour management, booking agencies, promoters and local teams around the world.
